Job Description: We are inviting applications for the position of Exec/ Sr. Exec. The position will be based in Bangalore and will be an individual contributor role, reporting into the GAP Program Manager.
The role-holder will work closely with various operational & HR Spoc across SBU/ SL and job will involve managing end-to-end logistics and providing support in process improvement for GAP - Global Assimilation Program (& Induction Programs) through the year. GAP is a 2-week quarterly held lateral induction program for ODR in Sales roles across Geos, participants are senior role holders with an average of 15 year experience.
Role and Responsibilities:
Invitation and GAP Registration Management: Drawing up invitee list by checking new joinee list against defined eligibility criteria, sending invitations through the GAP portal and updating GAP related information on all relevant portals. Managing communication and resolution of queries with HR spoc and invitees etc.
Schedule & Speaker Management: Drafting & Finalizing the schedule based on feedback received/ changes in Org priorities; drafting and sending invites to senior speakers; Tracking and getting confirmation from replacement speakers to ensure that GAP event/ all sessions happen as planned
Logistics Management: Managing logistics for smooth running of the program like arrangements for welcome kit, venue, lunch, accommodation, transportation etc. by working with different operational teams (IMG, FMG, Vendors etc.).
Vendor Management: End-to-end interaction with vendor starting from Screening empaneled vendors for best products, Negotiating for best price, Raising POs and overseeing payments etc.
Feedback Management & MIS: Gathering feedback from GAP participants, analyzing feedback and preparing Report for review by Senior Management. Incorporating feedback for next event. Sharing feedback with speakers to close the loop. Creating and maintaining trackers for MIS.
Special Initiatives & Ongoing Support : Providing support and ideas for execution of special initiatives for improving the Onboarding experience of GAP participants. Provide generic HR support for other related activities.
Skills & Competencies:
Customer focus and Result Orientation: Ability to anticipate the customer needs, adapt/act accordingly and respond quickly. Should be willing to stretch at times based on needs of the program. Should be able to think and act fast to make things happen.
High Attention to detail and Learning Agility: Must be able to organize chaotic data and see patterns. Ability to track changes quickly and connect the dots. Ability to grasp new things, incorporate feedback for better work output
Good communication: The role holder will need to draft communication to HR Spocs, GAP invitees, Senior Business Leaders and handle queries. Engage with GAP Participants during GAP. Strong written and verbal communication is a must.
Collaboration: Building good working relationships with other teams/ functions to get the desired output/ result.
Flexibility and maturity to prioritize and manage a range of activities with little or no guidance after initial transition: This is a high intensity program that will require quick thinking, speed, adaptability and empathy.
Employee Interface experience a must.
Work experience - 2-5 years for Graduates OR 1-4 years post MBA preferably with some background in managing programs/ events. Prior working with Onboarding teams from a people engagement, induction standpoint - will be an advantage.
