Job description:
The Administrative Assistant is responsible for ensuring reliable services by resolving facility issues, coordinating local site functions in parallel with providing general administrative support to the operations and human resources teams.
Responsibilities include:
- Drafts and distributes correspondence, prepares reports maintains files.
- Possesses the ability to complete high volumes of complex tasks and projects quickly with little to no guidance.
- Reacts with appropriate urgency to situations and events that require quick response or turnaround.
- Takes effective action without having to know the total picture; and efficiently and creatively solve problems.
- Performs various special projects, space administration, support recruitment activities, holiday planning.
- Resolve facility issues as needed. Communicate and document facility needs. Attend weekly meetings with Facilities Coordinator and address issues as they arise.
- Manages office supplies and mailing process.
- Supports the Human Resources Team with recruiting. Arrange and schedule interviews for candidates, coordinate interview process, and facilitate pre-employment testing as requested.
- Maintain various daily/weekly/monthly reports
- Calendar Management: Supports site leadership team for various administrative tasks, Attend meetings, take minutes and distribute to team members, prioritize task requests amongst multiple requestors
Desired Skills and Experience:
- Looking for only Hyderabad based candidates
- Highly Proficient with MS Outlook, Word, Excel, PowerPoint and Internet Navigation
- 2+ years’ office administration required, including exposure to the human resources administrative functions
- Proactive, flexible, highly organized and detail oriented with strong multi-tasking and interpersonal abilities.
- Excellent verbal and written communication skills are required as is the desire and strong aptitude for learning new concepts on the job.
- Flexibility to work overtime as needed
- Ability to maintain strict confidentiality regarding employee issues.
- Outstanding interpersonal skills: must display patience, approachability and helpfulness at all times.
- Ability to handle multiple projects and deadlines.
- Detail oriented and excellent organizational skills: accuracy is essential.
- Ability to manage multiple Outlook calendars
Preferred Qualifications:
- Bachelor's Degree or equivalent preferred.
- Experience in Microsoft Office.
